We are seeking a permanent, full-time experienced Executive Assistant to join our Asian Family Services team in Auckland.
About us
Asian Family Services (AFS) has been providing support to our Asian communities in New Zealand since 1998. We are a charitable trust and New Zealand's only service provider for people of Asian backgrounds affected by mental health issues and gambling harm. Our service operates in many areas: the Asian Helpline, clinical interventions, public health work, Asian Wellbeing Services, COVID-19 related counselling services, research work, and more!
About the role
The successful candidate will:
- Provide administration and executive support to the AFS CEO including but not limited to administering their diary in a way that allows them to undertake their responsibilities in a structured and planned manner, managing their incoming emails and responding directly where appropriate, pre-empting their needs to ensure that they are provided with the information and resources they need to prioritise, prepare and undertake their work activities in an informed manner, acting as a first point of contact for all the AFS CEO’s enquiries, organising regular AFS management and Board meetings and taking minutes and arranging travel and accommodation for the AFS CEO, management, staff and Board members.
- Support the AFS CEO to monitor AFS contract delivery and oversee AFS performance reporting internally and externally, which will include assisting in writing, drafting and proofreading of monthly and ad hoc AFS reports and ensuring reports are completed to a high professional standard.
- Support the reception requirements of the Asian Family services team from time to time.
- Provide administration support to AFS management and team as required including but not limited to supporting the team in the delivery of public health events and making bookings for clients and counsellors as required.

Desired Skills and Experience
- Graduate qualifications from New Zealand recognised tertiary institution in business, social services, or recognised equivalent
- Organised with high attention to detail
- Ability to multi-task
- Effective administration skills
- Excellent customer service skills
- Bi-lingual: able to converse in Mandarin and able to speak and write in English
- Ability to work cross-culturally and engage with diverse communities
- Effective and respectful communication skills
- Competence in data entry and Microsoft 365 programmes desirable
- Knowledge of all useful directory and sharing platforms
- Full and clean driver’s licence
